Resume AI Privacy Policy

Resume AI (“we,” “us,” or “our”) is an Electron-based resume builder that combines a local-first React renderer with a secure Node.js backend. This Privacy Policy describes how we collect, use, and protect information when you install or use the Resume AI desktop application and related services.


1. Information We Collect

1.1 Information You Provide

  • Account context: Name, email address, and optional profile details entered while building your resume.
  • Resume content: Text, images, job history, and other materials you import or type inside the app.
  • Attachments: PDF uploads or job descriptions you provide to power AI editing.

1.2 Automatically Collected Information

  • Local analytics: Device type, OS version, and anonymized error logs stored locally to help troubleshoot.
  • Service usage: Aggregated API metrics (success/failure counts, latency) logged on our backend without resume content.

1.3 Third-Party Data Sources

  • Cloud template service: Optional template catalogue data when you opt into remote templates.
  • AI language model: AI responses generated from the prompts and resume data you submit through our backend.

We do not sell your personal information, nor do we collect data beyond what is needed to operate Resume AI.


2. How We Use Information

  • Provide, personalize, and improve Resume AI functionality.
  • Power AI-assisted editing, tailoring, and extraction through our backend-to-LLM integration.
  • Maintain security, monitor performance, and debug issues.
  • Send optional product updates or support messages when you explicitly subscribe.

3. Data Storage & Retention

  • Local-first model: Resume drafts live on your device. Auto-saves are stored in local storage or local files.
  • Backend payloads: Requests sent from the app to our backend are processed in-memory and discarded after completion. We retain only minimal logs containing timestamps and non-identifying metrics.
  • Cloud templates: If you enable remote templates, the service caches template metadata but no resume content.
  • Backend database: Operational metadata (uptime checks, throttling counters) may be stored in a secure database separate from user resume content.
  • Retention requests: You may delete local data at any time by clearing app storage or uninstalling the app. Contact support@resumeai.app to request deletion of backend logs associated with your account.

4. Data Sharing

  • Service providers: Select vendors power AI inference, template hosting, analytics, and infrastructure support. They receive only the information required to fulfill their services.
  • Legal compliance: We may disclose information if required by law or to protect our rights, users, or the public.
  • No third-party marketing: We never share or sell resume content for advertising purposes.

5. Security Practices

  • AI requests flow through the backend to keep API keys for AI and other services secure.
  • TLS encrypts data in transit between the Electron app, backend, and third-party APIs.
  • Access to backend infrastructure is restricted via role-based permissions and audit logging.
  • We regularly review dependencies and apply security patches following our internal SDLC.

6. Your Choices & Rights

  • Local control: Edit or delete resume data directly within the app.
  • Exports: Download your resume in PDF, JSON, or LaTeX formats at any time.
  • Opt-out: Disable cloud template fetching to keep all data offline.
  • Requests: Email privacy@resumeai.app to access, correct, or delete any backend data we hold about you.

7. Children’s Privacy

Resume AI is not intended for individuals under 16. We do not knowingly collect personal information from children. If we learn that we have inadvertently collected such information, we will delete it promptly.


8. International Users

Our services are hosted in the United States. If you access Resume AI from other regions, you consent to the transfer of your information to the U.S., where privacy laws may differ from those in your jurisdiction.


9. Changes to This Policy

We may update this Privacy Policy as our product evolves. The “Effective date” above reflects the latest revision. Material changes will be communicated via in-app notices or release notes. Continued use of Resume AI after a change signifies acceptance of the updated policy.
